Data Deletion and Account Requests
This page explains how users of exCoins HR can request account deletion, data deletion, correction, export, or restriction of processing.
1. Important HR data note
exCoins HR is an employment and company administration system. Accounts and data are normally created or managed by the Company or an authorized employer administrator, not by public self-registration. Some HR, payroll, contract, attendance, tax, accounting, audit, security, and legal records may need to be retained even after an account is disabled or deleted.
2. How to request deletion
Send a request to ditar.kryeziu@op.excoins.me with the subject "Data Deletion Request".
Include:
- your full name;
- your work email or username;
- your company or branch;
- what you want deleted, corrected, exported, or restricted;
- any additional information needed to verify your identity.
3. What may be deleted
Depending on your role, legal requirements, and Company policy, deletion may include:
- disabling or deleting login access;
- deleting optional profile information that is no longer required;
- removing or replacing uploaded files when legally allowed;
- deleting mobile tokens, session records, or device-specific data;
- anonymizing certain logs or historical records when full deletion is not possible.
4. What may be retained
We may retain data when needed for:
- employment, payroll, tax, accounting, or pension records;
- contracts, legal obligations, audits, disputes, investigations, or regulatory requests;
- security logs, fraud prevention, system integrity, and backup recovery;
- records that the Company is required or permitted to keep by law.
If data cannot be deleted immediately, we will explain the reason where legally permitted.
5. Mobile app uninstall
Uninstalling the mobile app removes the app from your device. It does not automatically delete your server-side account or HR records. To request deletion of server-side data, follow the request process above.
6. Response process
The Company or authorized administrator will review requests and may need to verify identity, role, employment status, and legal retention requirements before taking action.
